Terms of Service
General Terms
- Check-in time is at 1:00 PM, and check-out time is at 11:00 AM.
- All rates are quoted in Indian Rupees (INR).
- For us to guarantee you an early check-in or late check-out, you will need to reserve the room for an additional night.
- Early check-in or late check-out will incur an additional night's charge.
- By making a reservation, the guests/clients are deemed to have agreed to the hotel's terms and conditions.
- Guest/Clients acknowledge that they have thoroughly read, comprehended, and agreed to the aforementioned terms and conditions.
- If you have any objections to these terms and conditions, please notify the hotel via email, as the hotel will be unable to proceed with the reservations. Failure to do so will be considered explicit acceptance of the terms and conditions.
- We reserve the right to cancel or modify reservations if we suspect fraudulent or inappropriate activity.
- To claim input tax credit, please ensure that your company's GSTIN number and appropriate address are communicated at the time of booking. Kindly share the GST Certificate to avoid any inconvenience.
- Failure to provide this information may result in the hotel being unable to amend invoices at a later stage.
- Guests/Clients’ vehicle parking facility is subject to availability.
- Chauffeurs are required to strictly adhere to the decorum of the hotel. Failure to comply with the hotel's rules and guidelines may result in the chauffeur being denied entry to the premises.
- Outside food is strictly prohibited on the premises.
- Food Plans and Details:
- Continental Plan (CP): Includes accommodation and breakfast.
- Modified American Plan (MAP): Includes accommodation, breakfast, and one major meal.
- American Plan (AP): Includes accommodation, breakfast, lunch, and dinner.
- Note: Buffet or A la carte options are at the chef's discretion.
- By accepting these terms and conditions, the guest/client voluntarily consents to the Hotel/Company using their information, including sensitive personal data, for administration, research, and marketing purposes.
- Special rates, inclusions, and services may be extended by the Hotel/Company to its Guests/Clients as a special and exceptional case. However, it is essential to maintain the confidentiality of these offers.
- Our Guests/Clients are free to explore and compare options to find better rates, inclusions, or services without disclosing the specific details offered by the Hotel/Company. However, in case the offer given by the Hotel/Company is disclosed, the hotel reserves the right to withdraw the offer without prior notice or notification.
Check-in Requirements
As part of our enhanced security measures, we kindly request all guests/clients to carry the original copy of a valid ID. Failure to present the original copy of a valid ID will result in the guest/client being unable to check-in.
For Indian Nationals:
All Indian nationals must provide a valid proof of identity which is strictly either an Aadhar Card or Passport, during the check-in process.
For Foreign Nationals:
All foreign nationals are required to present their valid Passports and Visas during the check-in process.
Age Definition Policy
- Children aged 13 years and above will be considered adults for occupancy purposes.
- Children aged 6 to 12 years will be considered children for occupancy purposes.
- Children below 6 years of age stay complimentary.
Minor Policy
Our website and mobile application are intended for use by adults only. If you are under the age of 18, you may access and use our services only under the supervision of a parent or guardian.
Occupancy Policy
- Maximum occupancy in one accommodation is limited to 3 adults only.
- For bookings with 3 adults and 1 child (aged 6 to 12 years), a mattress will be provided for the additional adult, while the child shares the parent's bed.
- For bookings with 2 adults and 2 children (aged 6 to 12 years), a mattress will be provided for one child, and the second child will share the parent's bed.
- Guests are required to present a valid ID and age proof for all occupants during check-in.
- In case of any age discrepancy between the reservation and ID proof, the applicable tariff will be based on the age mentioned in the ID proof.
Couple Friendly Resort - Policy
- At Hoysala Village Resort, we pride ourselves on our rich tradition and cultural heritage. We welcome unmarried couples to stay with us, provided both individuals present their Aadhaar cards at the reception for verification upon check-in.
- We expect all guests to conduct themselves in a decorous and respectful manner throughout their stay. The resort reserves the right to refuse accommodation to any guests whose behaviour is deemed inappropriate.
Guest Access Policy
- Non-Resident Guest Policy: Non-resident guests are strictly prohibited from accessing areas beyond the designated zones, which are the Reception and The Lounge.
- Visitor Policy for Resident Guests: Resident guests may host family or friends who are non-resident visitors only in the Reception and The Lounge. Other areas of the resort are accessible exclusively to resident guests.
- Enforcement and Compliance: All guests are required to adhere to this policy. The resort reserves the right to enforce these conditions to ensure the comfort and safety of all guests.
Payment Policy
- Please be advised that the rates, inclusions, and services confirmed, are subject to change without prior notice. To secure the same, subsequent to your enquiry; we would require 50% of the total package value as advance within the specified time frame mentioned. The Hotel may choose to release non-guaranteed reservations.
- Confirmation of the reservation is subject to the receipt of the complete package value, on or before the cut-off date.
- Failure to make respective payments may result in the reservation being marked as invalid and may be moved to the waitlist or cancelled.
- To ensure a seamless and uninterrupted experience, we strongly recommend settling the payment promptly.
- If you need to cancel your reservation, please refer to the Cancellation Deadline, to avoid cancellation or no-show charges.
- PAN is to be produced in case of cash payments amounting to INR 50,000 and above.
Cancellation & Refund Policy
- Changes to confirmed dates/days are allowed only if the company is notified via email at least 30 days prior to the check-in date.
- Refunds, after deducting a 10% administrative charge, will be initiated for eligible cancellations.
- The refund process may take between 15 to 90 working days to complete.
- No refund is applicable for no-shows.
- For any amendment, postponement, or cancellation within the last 30 days before the scheduled arrival date (excluding the check-in date), full retention charges will apply.
Group Reservation Policy
- Group reservations made on weekends or blackout dates require a minimum booking of 2 nights and above.
- Exclusive use of venues is possible only when the entire hotel is booked by the respective group.
- In case of any reduction in the minimum guaranteed package value, as stated in the confirmation, the minimum guaranteed package value will still be charged.
- If there is an increase in the minimum guaranteed package value, the actual (increased) package value will be charged.
- Any additional services or extras not included in the confirmed package will be considered extras and must be settled at the hotel before checking out.
- No welcome signage, banners, or standees are allowed in common areas of the resort.
- The Guest/Client is liable for any damages caused to the property or equipment of Nirwana Hotels and Resorts Private Limited by the Guest/Client or their Guests.
- Nirwana Hotels and Resorts Private Limited will not be liable for any damage or loss of merchandise left in the hotel.
- Nirwana Hotels and Resorts Private Limited does not offer a storage facility for items brought from outside the hotel.
- Activities that may cause disturbance to other guests/clients, such as hammering, cutting, banging, and loud music in public areas, are strictly prohibited.
- DJ/loud music is not permitted beyond 10:00 PM.
- The Bar & Restaurant closes strictly at 10:00 PM, and no service will be provided beyond this time.
- Drone Photography is not allowed without prior legal permission from the local police station and is permitted only to cover the event.
- Firecrackers are strictly prohibited.
- Prior permission is required for any work involving nailing, digging, or decorating with wires.
- Event crew members are not allowed to loiter or sleep on the property and must maintain decorum.
- Please be informed that any electricity requirement beyond 5KVA (up to a maximum load capacity of 20KVA) will incur an additional charge of INR 30,000 for every 3 hours of usage. Guests/Clients are requested to make prior arrangements with the hotel management for any such additional electricity requirements to avoid any inconvenience.
- No decoration, stage, or ramp is permitted inside the swimming pool.
- Heavy vehicles are not allowed inside the hotel, only light commercial vehicles (4x4 wheel drive vehicles) are permitted.
- All decoration arrangements must be prepared in the assigned areas and then shifted to the event zone.
- All decoration material pre and post-event should be stacked in dedicated areas assigned by the Hotels’ Management.
- All waste materials, pre or post-event, must be immediately discarded at government-permitted areas located outside the hotel. The Event Management Company is responsible for ensuring timely action on waste disposal.
- As per High Court Guidelines, we are pleased to inform you that no Public Performance License (PPL) and Indian Performing Right Society (IPRS) licenses are required for social events conducted within the premises of Hoysala Village Resorts.
Force Majeure Clause
"Hoysala Village Resorts” bearing the legal name “Nirwana Hotels & Resorts Pvt Ltd” shall not be responsible for its inability to perform its contractual obligations arising due to force majeure events such as –
- Act-of-God (natural disasters such as tsunamis, floods, landslides, earthquakes, volcanoes, or sudden death)
- Any local or national emergencies
- Civil disorder (riots)
- Epidemic & Pandemic
- Curtailment of transportation and airport operations
- Any Exceptional and catastrophic event
- Act of terrorism or crime
- Other acts which are beyond the control of Hoysala Village Resorts or declared by the Government as Force Majeure events.
Further in the event of a Force Majeure, ‘Hoysala Village Resorts’ shall not charge retention for that part of the reservation that was not consumed by the guests/client who are affected by the Force Majeure Event.
However, ‘Hoysala Village Resorts’ shall at its own discretion provide the guest/client a credit note that is valid till the claim-by-date defined by Hoysala Village Resorts. The guest/client will not be entitled to make any grievance thereafter in respect of the same.
Amendment Rules
The Management reserves the right to add or amend any of the aforementioned terms, conditions, and rules. These terms and conditions apply to all guests/clients, both Online and Offline Travel Agents/Tour Operators, Companies/Organizations, Event Management Companies, Freelancers, and any other individuals availing the services owned or operated by Hoysala Village Resorts.

Governing Law
In case of any disputes, it may be necessary to seek resolution through the judicial system located in Bangalore and we assure you that we will uphold a fair and lawful resolution process for any potential disputes.
